Inserting Page Numbers in Word 13

You just have written a long document, you have formatted it as best as you can and you have come to the point where you want to number it. What do you do?

First of all, when we insert a page number, the location where it is added is in the Header or the Footer (depending where we want it located) of our document. If we don’t want to mess with Headers and Footers (which I will describe in a future post), and we just want to add a simple page number the procedure is easy and described below.

Once we have numbered our document, we don’t have to worry anymore about numbering it again either we add more pages to it or delete pages from it.

First of all we must select the Insert tab and from the area of the ribbon named Header & Footer we select the arrow at the right of the command Page Number, so the drop down menu expands as shown in the image below.

Each position in the Page Number gallery displays a preformatted page numbering, where we just select one by just clicking on it. That’s it the number is inserted in our document located at the position that we selected.

Top of Page: Once we select one of the predefined numbering from the gallery it will be inserted at the top of the page either left, centered or right as shown in the image below.

Bottom of Page: Once we select one of the predefined numbering from the gallery it will be inserted at the bottom of the page either left, centered or right as shown in the image below.

Page Margins: Once we select one of the predefined numbering from the gallery it will be inserted either at the left or right margin of our pages. As shown in the image below the predefined numbering gallery does not offer us so many choices to select from.

Current Position: Once we select one of the predefined numbering from the gallery it will be inserted at the point where we are editing our document. Meaning that the numbering will be inserted at the position where our cursor is blinking.

Format Page Numbers: Once we select the command Page Number Format the below dialog box appears where we have several control aspects of page numbering. In this dialog box we have the following options:

  • Number Format: We can change the number format by selecting from the drop down list. Numbering such as A, B, C, I, II, III, -1-, -2-, -3-, etc.
  • Include Chapter Number: We can select this option to create compound page numbers that include a number drawn from a heading paragraph such as 1-1, 2-2, 3-3 and so on.
  • Page Numbering: We can select this option in order to define from which number we want our numbering to start from. Pretty handy in case we have split our document in more than one.

Remove Page Numbers: By simply selecting this command no matter what we have done, the numbering will be removed from our document.
