Insert Citation in a Word 13 Document

A Citation is a reference to a published or unpublished source. It is an alphanumeric expression embedded in the body of a document that is also an entry in the Bibliography as a reference.

The basic purpose of a Citation are the following:

  • To avoid plagiarism
  • To attribute prior or unoriginal work and ideas to the correct sources
  • To allow the reader to determine independently whether the referenced material supports the author’s argument in the claimed way
  • To help the reader gauge the strength and validity of the material the author has used

In this post, I will describe how to create and insert a Citation in a Word 13 document.

First, we must select the References tap and then locate the area of the ribbon named Citations & Bibliography as shown in the image below.

Then in order to insert a citation in our document we select the command Insert Citation. Once selected the drop down menu appears which contains the Add New Source command and Add New Placeholder command as we can see below.

In the example below, I have selected the Add New Source command. Once selected the Create Source dialog box appears which is separated in the following areas:

Type of Source: The Type of Source can either be one of the following:

  • Book
  • Book Section
  • Journal Article
  • Article in Periodical
  • Conference Proceedings
  • Report
  • Website
  • Document From A Website
  • Electronic Source
  • Art
  • Sound Recording
  • Performance
  • Film
  • Interview
  • Patent
  • Case
  • Miscellaneous

Language: We can choose from either one of the languages that we have installed on our PC.

Bibliography Fields for APA: We type in the information that we want to be displayed in the appropriate fields. These fields are the following:

  • Author
  • Name Of Webpage
  • Name of Web Site
  • Title
  • Year
  • City
  • URL

Show All Bibliography Fields: By activating the check box more fields will be displayed that we can type in more information as shown in the image below.

In the image below, I have selected as Type Of Source Website from the drop down menu that appears.

In the image below I have inserted all the text that I wanted in the appropriate fields and once I have finished completing them, I just press the OK button in order to return to our document and for the Citation to be inserted.

Now, if we select the References tab and from the area of the ribbon named Citations & Bibliography we select the command Insert Citation, from the drop down menu that appears the first that we notice is the Citation that we just added.

All we have to do is to select it in order for the Citation to be added in our document or we starting creating a new one all over again by selecting the Add New Source command again. In the image below, we can see the Citation added in our document. If we click anywhere in it, it will be activated and if we select the arrow at the right of it, a drop down menu will appear where we can do one of the following:

  • Edit Citation
  • Edit Source
  • Convert Citation To Static Text
  • Update Citations and Bibliography

With the same procedure we can add more citations in our document.
