Predefined Headers & Footers in Excel 2013

As mentioned in my previous posts Header and Footer dialog box and Header And Footer using Page Layout View in Excel 13, I have defined what are Headers and Footers and how to create them using the dialog box and in the Page Layout View in Excel 13. In this post, I will describe how to use the Predefined Headers and Footers.

First of all we must select the Insert tab and then from the left of the ribbon we locate the area named Text as shown in the image below.

Once we locate the area, we select the Text command where the drop down menu appears with all the available commands. From the drop down menu we select the command Header & Footer.

Straight away, we switch to Page Layout View where we can see the Header parts of our page as shown below. We can also notice that the Header & Footer Tools tab has appeared where we can use the Design tab in order to adjust our Header & Footer.

The Header & Footer Design tab is separated in the following areas:

  • Header & Footer: Header, Footer
  • Header & Footer Elements: Page Number, Number Of Pages, Current Date, Current Time, File Path, File Name, Sheet Name, Picture, Format Picture.
  • Navigation: Go To Header, Go To Footer
  • Options: Different First Page, Different Odd & Even Pages, Scale With Document, Align With Page Margins

Header And Footer Tools

In the image below, in the area Header & Footer I have selected the command Header, where the drop down menu appears with all the predefined Headers available. All we have to do is to activate the cell part of the Header that we want to insert the predefined Header and then select the predefined Header that we want.

In the image below, in the area Header & Footer I have selected the command Footer, where the drop down menu appears with all the predefined Footers available. All we have to do is to activate the cell part of the Footer that we want to insert the predefined Footer and then select the predefined Footer that we want.

At the part of the ribbon named Header & Footer Elements, we can select the command that we want. Once again, we must activate either the Header part either the Footer part that we want the predefined elements to be inserted in:

  • Page Number: Inserts the Page Number.
  • Number Of Pages: Inserts the Number of Pages, where it updates automatically as we change the workbook.
  • Current Date: Inserts the Current Date.
  • Current Time: Insert the Current Time.
  • File Path: Inserts the name of the current file, along with the full path of the file.
  • File Name: Inserts the name of the current file.
  • Sheet Name: Inserts the name of the current Sheet.
  • Picture: Inserts a picture.
  • Format Picture: We can format the picture, either by changing the brightness, contrast or size.

Header and Footer Elements

At the part of the area of the ribbon named Navigation we can:

  • Go To Header: Switch to the Header, in case we are in the Footer area.
  • Go To Footer: Switch to the Footer, in case we are in the Header area.

Navigation

At the part of the ribbon named Options, we can activate or deactivate the following commands:

  • Different First Page: We can give the Header or Footer a different First Page compare to the rest of the document.
  • Different Odd & Even Pages: We can specify that the Odd Numbered Pages have a different Header/Footer from the Even Numbered Pages.
  • Scale With Document: We can specify that the Header/Footer should scale as we use the Shrink To Fit command on the document.
  • Align With Page Numbers: Aligns the side of the Header or Footer with the Page Margins.
