Color-Grayscale and Black & White Print Settings In PowerPoint 13

Presentations that we design are meant to be shown in color. But sometimes we need to print the Slides and Handouts in Black and White or in Shades of Gray. When we decide to print in Grayscale, we get an image that contains variations of Gray Tones between Black and White. In PowerPoint 13, we can print the whole Presentation, including Slides, Outline, Notes Pages and Handouts either in Color, Grayscale or Black and White.

First, our Presentation must contain colors and graphics in it as shown in the image below. Once we are ready we then select the View tab. Once the View tab is selected, we locate the area of the ribbon named Color/Grayscale. This area contains three commands, which are the following:

Color: Which is the one activated by default, and we view our Presentation in Full Color.

Grayscale: We view the Presentation in Grayscale and we can customize how the colors are translated into Grayscale.

Black And White: We view the Presentation in Black And White and we can customize how the colors are translated into Black and White.

View - Color/Grayscale

In the image below, from the View tab and from the area of the ribbon named Color/Grayscale I have selected the command Grayscale.

Straight away, the Grayscale tab appears as shown below, where we have the following variations to change the slide.

  • Automatic: We can use Automatic rendering of the selected object when printing in black and white.
  • Grayscale: We can use Grayscale rendering of the selected object when printing in black and white.
  • Light Grayscale: We can use Light Grayscale rendering of the selected object when printing in black and white.
  • Inverse Grayscale: We can use Inverse Grayscale rendering of the selected object when printing in black and white.
  • Gray With White Fill: We can use Gray with White Fill rendering of the selected object when printing in black and white.
  • Black With Grayscale Fill: We can use Black with Grayscale Fill rendering of the selected object when printing in black and white.
  • Black With White Fill: We can use Black with White Fill rendering of the selected object when printing in black and white.
  • Black: We can use Black rendering of the selected object when printing in black and white.
  • White: We can use White rendering of the selected object when printing in black and white.
  • Don’t Show: It doesn’t show the selected object when printing in black and white.

Back To Color View: It closes the Grayscale View and we return to Color View.

In the image below, I have selected from the Grayscale View tab the command Inverse Grayscale, where we can notice the difference on the selected object.

In the image below, from the View tab and from the area of the ribbon named Color/Grayscale I have selected the command Black And White. The same commands with the Grayscale View are also available here. All we have to do is to select the variation that we want.

We can also change the print settings for our Presentation in Backstage View. All we have to do is to select the File tab, and then from Backstage View we select from the menu the command Print and then under the area Settings, we activate the drop down menu next to the command Color and select the setting that we want.
