Set Permission on E-Mail Messages in Outlook 13

It is easy to communicate with pretty much anyone via email. However, there are times when you do not want email you send to be forwarded to others, or printed out, or copied. You can use Information Rights Management (IRM) to help prevent sensitive email from being read, printed, forwarded, or copied by unauthorized people.

First, we must create a New E-Mail Message and fill in all the appropriate fields needed.

New Message

Once we have filled in all the appropriate fields with all the information needed, we select the Options tab as shown in the image below.

Under the Options tab we locate the area of the ribbon named Permission, and then select the command Permission as shown in the image below. Once selected the drop down menu of the Permission tab appears and under Set Permission On This Item we have the following commands available:

  • Unrestricted Access
  • Do Not Forward
  • SYSTEMPLUS – Confidential
  • SYSTEMPLUS – Confidential View Only

In the image below the default setting for the Permission is Unrestricted Access, meaning that the recipient can Forward, Copy and etc. the E-Mail Message.

Set Permission On This Item

In the image below I have selected the Do Not Forward command from the Permission drop down menu and above the fields we notice the following Information.

Do No Forward – Recipients Can Read This Message, But Cannot Forward, Print Or Copy Content. The Conversation Owner Has Full Permission To Their Message And All Replies.

In the image below I have selected the SystemPlus – Confidential command from the Permission drop down menu and above the fields we notice the following Information.

SystemPlus – Confidential – This content is proprietary information intended for internal users only. This content can be modified but cannot be copied and printed.

  • Permission Granted by:

Confidential

In the image below I have selected the SystemPlus – Confidential View Only command from the Permission drop down menu and above the fields we notice the following Information.

SystemPlus – Confidential View Only – This content is proprietary information intended for internal users only. This content can be modified but cannot be copied and printed.

  • Permission Granted by:

Confidential View Only

That is it. Now we can protect sensitive E-Mail Messages from being Forwarded, Copied and Printed.
