Are you tired of sending attachments over and over again, making sure that everyone has got the latest copy in order for them to be pleased. Are you fed up of merging everyone’s editing into one final copy? This is where Office 2016 comes in, and especially the Share feature. All the above are history. Now, we can collaborate and share with others the same document simultaneously. All you have to do is to continue reading.

In the image below we can see the Share command at the top right corner of Word application. All we have to do is to click the Share button, and we will be able to see who has access to a given document, and who is currently working on it and even change the authoring permission for any document that we own.

Before we use the Share command, in order to collaborate with others we must save a copy of our file on an online location.

In the image below I have selected the Share command, where straight away the Share task pane appears at the left of the screen. At the right of the area named Invited People, I have activated the icon and straight away the Address Book dialog box appeared, where I am able to invite the people I want in order to Share the file. From the Address Book, I just select the persons and click on the To button which is located at the bottom left corner of the Address Book window.

In the image below, we can see the person that I want to Share the file, and straight below the persons address I can select from the drop down menu whether that person Can Edit or Can View the file.

In the text box, named Include A Message (Optional), we can type a message for the person(s) that we will Share the File with.

At the right of the area named Automatically Share Changes, we can activate the drop down menu and select either the command Ask Me, Always and Never.

In the middle of the Share task pane, we notice the name of the person who is editing the file.

Once we have finished all the adjustments on the Share task pane, all we have to do is to select the Share button which is located in the middle of the task pane as shown in the image below. Once selected, a pop up window appears notifying us the following:

Once it has finished, if the recipients check their Inbox they will notice a mail, mentioning that we have shared the file with them.

At the bottom of the Share task pane, we can always use the Get A Sharing Link. Once the Get A Sharing Link command is selected we get the following two options in order to use:

  • Edit Link: If we use this command, anyone with this link can edit the document that we shared with.
  • View-Only Link: If we use this command, anyone with this link can see the document that we shared with, but will not be able to edit them.

The Share feature can be used in Word 2016, Excel 2016 and PowerPoint 2016.
