Room Finder Feature in Outlook 2016

When we are scheduling a Meeting Request in Outlook, we come to the point where we have to find a Room in order for the Meeting to be held. That is the hard part. This is where the Room Finder in Outlook 2016 comes in. Room Finder helps us by showing the availability of the Rooms for our Meetings, and also suggests times for our meeting to be held.

From the Home tab we locate the area named New from the left, where we select the command New Items. Once the New Items command is selected the drop down menu appears where we select the command Meeting as shown in the image below.

Straight away a new Appointment is created, and the Meeting tab is activated in order to do all the adjustments that we need to do. At the right of the Meeting tab and under the Options area of the ribbon we notice the command Room Finder as shown in the image below.

In the body of the Appointment message at the right we can see the Rooms button at the text area named Location. If we press the Rooms button, the Select Rooms window will appear where we just select the Rooms that we want for our Meeting in order for them to be added in the Rooms text area which is located at the bottom of the Select Rooms window as shown in the image below.

Once we have added the Rooms that we need for our Meeting we press the Ok button in order for us to fill in all the other information needed for our Meeting. Now, at the right of our Meeting Message we can use the Room Finder task pane in order for us to check the Availability of the Rooms that we have selected, and we can also see the Suggested Times for our Meeting to take place.

All we have to do is to select the Date that we want for our Meeting, then under the area named Choose An Available Room, we select the Room that we want our Meeting to take place, and straight away under the area Suggested Times, Room Finder will provide us with the Suggested Times for our Meeting to be held according to the Room that we had selected.
