Insert A SmartArt Graphic in PowerPoint 2016

A SmartArt Graphic is a visual representation of our information that we can quickly create in order to communicate effectively our messages or ideas. In order to insert a SmartArt Graphic, all you have to do is to follow the steps below.

We must select the Insert tab and then from the area of the ribbon to locate the area named Illustrations as shown in the below.

Then from the Illustrations area we select the command SmartArt. Straight away the Choose A SmartArt Graphic dialog box appear as shown in the image below.

The Choose A SmartArt Graphic dialog box contains eight categories that we can select from and which are the following:

  • All: Contains all the categories.
  • List: We use it in order to show nonsequential information.
  • Process: We use it in order to show steps in a process or timeline.
  • Cycle: We use it in order to show a continual process.
  • Hierarchy: We use it in order to create an organization chart or to show a decision tree.
  • Relationship: We use it in order to illustrate connections.
  • Matrix: We use it in order to show how parts relate to a whole.
  • Pyramid: We use it in order to show proportional relationships with largest component on the top or bottom.
  • Picture: We use it in order to express the SmartArt Graphic with a picture.
  • Office.com: We use it in order to download SmartArt Graphics from Office.com.

In the image below I have selected the List category from the Choose A SmartArt dialog box, where in the middle of the window we see all the available SmartArt Graphics, where we just click on one and at the right of the window we have a preview of the selected SmartArt with a brief description of the purpose of it.

Once we have inserted a SmartArt Graphic in our Presentation, the Design tab activates with all the command available in order to customize our SmartArt Graphic as shown in the image below.

The Design tab in order to customize our SmartArt Graphic is separated by the following areas:

Create Graphic:

  • Add Shape: We can add a shape to the SmartArt Graphic.
  • Add Bullet: We can add a text bullet to the SmartArt Graphic.
  • Text Pane: We can show or hide the Text Pane.
  • Promote: We can increase the level of the selected text or bullet.
  • Demote: We can decrease the level of the selected text or bullet.
  • Right To Left: We can switch the layout of the SmartArt Graphic between Left to Right and Right to Left.
  • Move Up: We can move up the current selection forward in the sequence.
  • Move Down: We can move down the current selection forward in the sequence.
  • Layout: We can change the branch Layout for the selected shape.

Create Graphic

Layouts: We can choose from the drop down menu a different Layout for our SmartArt Graphic.

SmartArt Styles: We can select from the drop down menu a different SmartArt Style for our SmartArt Graphic, and we can use the Change Colors command in order to change the color of our SmartArt Graphic.

Reset:

  • Reset Graphic We can discard all the formatting changes that we made to the SmartArt Graphic.
  • Convert To Shapes: We can convert a SmartArt Graphic to Shapes, so that any shape can be move, resized or deleted independently of the remaining shapes.
  • Convert To Text: We can convert a SmartArt Graphic to Text in order to remove all of the shapes and create a bulleted list from the text.

Reset

The same procedure is followed also in Microsoft Word, Microsoft Excel and Microsoft Outlook.
