Get A Delivery Or Read Receipt in Outlook

Have you ever wondered if an email that you have sent has been delivered to the recipient’s mailbox, or even if they have opened it and read it?

Well, it is quite simple to set Outlook to get a Delivery Receipt or a Read Receipt. All we have to do is to follow the steps described below.

First of all we must create a New Email. All we have to do from the Outlook window and on the Home tab is to select the New Email button which is located at the area named New from the right area of the ribbon.

New Mail

After we compose our message, and set the recipients for the message to be delivered we then select the Options tab and then from the area of the ribbon named Tracking we notice the following two commands:

  • Request A Delivery Receipt: A delivery receipt tells us that an email message was delivered to the recipient’s mailbox, but it doesn’t tells us whether the recipient has seen it or read it.
  • Request A Read Receipt: A read receipt tells us that the message that was sent was opened.

Options - Tracking

All we have to do is to activate the check boxes which are located at the left of each command as we can see below. That is it, if we send the message we will be notified if it was delivered, and we will be notified if it was read; In both cases we will receive a message in our inbox.

At the bottom right corner of the Tracking area of the ribbon we can select the small arrow in order for the Properties window to appear.

Tracking

Once selected the Properties window appears where we also have the Voting And Tracking Options area, as shown in the image below. In this area we notice the same commands as described above:

  • Request A Delivery Receipt For This Message
  • Request A Read Receipt For This Message

The check boxes at the left of the commands are activated, once we had activated them before.

Once finished we just press the Close button which is located at the bottom right corner of the Properties window.

Properties

Once the message is delivered to the recipient’s mailbox, we receive a message notifying us that the message was delivered as shown in the image below.

Delivery Receipt

Once the message is read, we receive a message in our Inbox notifying us that the message was read as shown in the image below.

Read Receipt

When we ask for a Read Receipt from the recipient of the message, it is in his judgment to agree to send it or not.

If we want to adjust Outlook to always ask for a Delivery Receipt or a Read Receipt, without us following the procedure above every time we have to follow the below steps:

We select the File tab in order for us to move to backstage view and from the drop down menu that appears we select the category Options from the right. Once the Outlook Options dialog box appears we select the Mail category from the left and then we navigate in order to locate the Tracking category from the right. Then we activate the check boxes that are located at the left of the following commands:

  • Delivery Receipt Confirming The Message Was Delivered To The Recipient’s E-Mail Server
  • Read Receipt Confirming The Recipient Viewed The Message

Outlook Options - Mail - Tracking

Once activated we press the OK button in order to return in Outlook. From now on a Delivery Receipt and Read Receipt will be delivered to us without us needing to do it over and over again for each message.

In my next post I will mention about Voting Options in Outlook.
